1 Introduction

K3K3ride respects the privacy of passengers, drivers, applicants and website visitors. This policy explains what personal data we may collect, why we use it, how it may be shared and protected, and the rights available under applicable law. It applies to our website, ride-hailing platform, driver onboarding, customer support and related services.

2 Who Is Responsible for Your Data?

K3K3ride determines the purposes and means of processing personal data in connection with its platform to the extent it acts as a data controller. Contact email: k3k3ride@gmail.com. If we use a service provider to process data on our behalf, that provider may act as a data processor. Some providers may separately determine how they process information for their own services.

3 Personal Data We May Collect

The information collected depends on whether you are a passenger, driver applicant, approved driver or website visitor and which features you use.

Identity and contact information may include name, telephone number, email address, account details and age or date of birth where required. Driver applicants may provide driving licence details, vehicle registration, insurance, permits, relevant documents, profile photographs and onboarding information.

Where identity verification is required and lawfully available, K3K3ride may use an authorised verification service. Ghana Card verification must follow the applicable legal and NIA-authorised process. A photograph, photocopy or visual inspection is not treated as official verification where that method is not legally permitted. The information available to us depends on the service and permissions granted; we aim to retain only what is necessary for the purpose.

Trip data may include pickup and destination locations, trip dates and times, route information, ride status and location information needed for matching, navigation or safety. Payment data may include fares, payment status, transaction references and refunds. Third-party providers may handle sensitive payment credentials directly.

We may process messages, support requests, complaints, ratings, reviews, feedback, IP addresses, device and browser information, operating system, logs, diagnostic information and interactions with platform features, depending on the systems in use. If you provide another person's information, such as an emergency contact, you should have the necessary authority and inform that person where appropriate.

4 Why We Use Personal Data

We may use personal data for account administration; ride coordination; driver onboarding and eligibility checks; lawful identity and safety checks; payment processing and dispute resolution; customer support; platform security and fraud prevention; service development; legal compliance; and service updates or marketing where required consent has been obtained.

We will not use personal data for a materially different purpose without a lawful basis and any additional notice, consent or other steps required by law.

5 Lawful and Fair Processing

K3K3ride aims to process personal data fairly, lawfully and transparently, for specified purposes and only to the extent necessary. Depending on the circumstances, processing may be necessary to provide a requested service, comply with a legal obligation, protect safety or pursue another purpose permitted by Ghanaian law. Where consent is required, we will seek it appropriately. We aim to keep data accurate and take reasonable steps to correct inaccurate or incomplete information.

6 Sharing Personal Data

We may share relevant information with passengers and assigned drivers to coordinate rides, limiting it to what is reasonably necessary. We may use providers for hosting, databases, mapping, navigation, payments, messaging, support, security and technical maintenance. Where applicable, information may be submitted to an authorised identity-verification provider or NIA through an approved process. We may disclose information when required or authorised by law, a valid court order or a competent authority. Personal data may also be disclosed in a business restructuring or transfer, subject to applicable law and safeguards.

7 International Data Processing

Some providers may store or process information outside Ghana. Where data is transferred or accessed across borders, K3K3ride will take steps required by applicable law and use appropriate safeguards where necessary. The location and safeguards depend on the providers and services actually used.

8 Data Security

We aim to protect personal data against unauthorised access, loss, misuse, alteration or disclosure through safeguards appropriate to the information and risks. Depending on systems deployed, safeguards may include password protection, access restrictions, secure hosting, encryption, backups, monitoring and access-management procedures. Access should be limited to people and providers who need it for an authorised purpose.

No website or storage system can be guaranteed completely secure. If a personal data breach occurs, K3K3ride will take appropriate steps to investigate, contain and address it and make notifications required by law.

9 Data Retention

We retain personal data only as long as reasonably necessary for its purpose, subject to legal obligations and other lawful retention needs. Account information may be retained while an account is active and for an appropriate period after closure. Trip and transaction records may be retained to administer services, address disputes and meet legal or accounting requirements. Driver onboarding and verification records may be retained for eligibility, safety and compliance. Support communications and technical logs may be retained for issue resolution, security and system integrity.

When data is no longer required, we will take appropriate steps to delete, destroy or irreversibly anonymise it unless a lawful reason requires continued retention. Account closure does not necessarily require immediate deletion of every record.

10 Your Rights

Subject to applicable law and lawful limitations, individuals may have rights to be informed about processing, request access to personal data, request correction, object to or request cessation of processing in circumstances provided by law, prevent use for direct marketing, request rectification, blocking, erasure or destruction where legally applicable, and seek remedies or make a complaint where rights have been infringed.

11 How to Exercise Your Rights

Email k3k3ride@gmail.com with the subject “Privacy Request”. Explain your request and provide enough information to identify the relevant account or records. We may need to verify your identity proportionately and lawfully before disclosing or changing information. We will respond within the timeframe required by applicable law and may explain if a request cannot be fulfilled in full because of a legal obligation or other lawful restriction.

12 Children

K3K3ride passenger and driver accounts are intended for individuals aged 18 and above. We do not knowingly seek to register children as account holders. If we become aware that personal data has been collected inappropriately from a child, we will assess the circumstances and take appropriate action under applicable law.

Our website may use cookies or similar technologies for essential functionality, security, preferences and, where implemented, analytics or other purposes. Please read our Cookie Policy for more information.

Our platform may contain links to third-party websites or services. Those services operate under their own privacy policies and terms. We encourage users to review those policies before providing information directly to a third party. This section does not exclude responsibility K3K3ride may have under applicable law.

We may update this policy to reflect changes in services, technologies, legal obligations or data-handling practices. The updated version will be published with a revised date. Where required, we will provide notice of material changes or obtain additional consent.
